Privacy Policy
Last updated October 29, 2026
Nubod is a coaching platform. Personal trainers, coaches, and gyms (“coaches”) pay for Nubod and use it to coach their clients. Clients use Nubod for free, on the web and in the Nubod app, to follow their program, log their training and nutrition, check in, and message their coach.
This policy explains what Nubod collects, how we use it, who can see it, and the choices you have. It covers getnubod.com, app.getnubod.com (including coaches’ branded sign-in pages on getnubod.com addresses), and the Nubod mobile app. Nubod is operated by Adelpa Ventures LLC (“Nubod”, “we”, “us”).
The short version
- We collect what you and your coach put into Nubod, plus activity from Apple Health, Fitbit, or Withings if you connect them.
- Your coach sees your coaching information. Your daily activity (steps, active minutes, sleep, and calories) is shared with your coach only if you turn sharing on.
- We don’t sell your information, we don’t show ads, and we don’t use your health data for marketing.
- A short list of providers help us run Nubod: hosting, email, photo storage, payments, and AI writing help for coaches. They’re all listed in section 8.
- You can ask for a copy of your information, or for your account to be deleted, at any time.
1.Coaches, clients, and Nubod
Nubod works on behalf of coaches. When a coach invites you, your account is connected to their coaching business. Your coach decides what Nubod tracks for you (for example, whether nutrition logging is on) and can see the information in your account so they can coach you. Your coach is responsible for how they use that information under their own agreement with you. Nubod runs and secures the platform.
Your coach is the best person to ask about your coaching. For anything about how Nubod handles data, contact us (see section 14).
2.What we collect
Information you or your coach give us
- Account details: your name, email address, profile photo, time zone, language, and units. Sign-in is handled by Google Firebase Authentication, with a password or a one-time code we email you. Your password is kept by Firebase, not in Nubod’s database.
- Intake answers: the questions your coach asks when you join, such as your date of birth or age, sex, height, weight and goal weight, activity level, food preferences and dietary restrictions, supplements, injuries, health conditions you tell us about (for example, high blood pressure or diabetes), where you’re located, and any questions your coach adds. For location, we save the place you choose and its map coordinates. Nubod doesn’t use your device’s GPS.
- Training: workouts, exercises, sets, weights, reps, effort ratings, and notes, plus the programs and plans your coach assigns.
- Nutrition (when your coach turns it on): food logs, meal plans, calorie and macro targets, and favorite foods.
- Measurements and progress photos: weight, body-fat percentage, body measurements, and front, side, and back photos.
- Check-ins: your ratings (energy, sleep quality, mood, stress, soreness, and hunger), sleep hours, notes, weight, and photos.
- Messages and files: your chats with your coach, including photos, videos, voice messages, and GIFs you send, and files your coach shares with you.
- Challenges: if you join a coach’s challenge, your enrollment, points, and posts. If you join a challenge’s waitlist, your first name and email address.
- Coach accounts: business name, logo, brand colors, and sign-in address; client invitations; templates for workouts, programs, plans, meal plans, and assessments; broadcasts; and settings.
- When you contact us or ask for a setup call: your name, email address, and what you tell us.
Information from apps you connect
If you connect Apple Health, Fitbit, or Withings, we receive health and activity data from them (see section 5). If you’re a coach and connect Google Calendar, Nubod reads your calendar events (see section 7).
Purchases
If you buy a coach’s paid challenge, Stripe processes the payment. Your card details go to Stripe, not to Nubod. We keep a record of the purchase: your first name, email address, the amount, the payment plan, and Stripe’s reference numbers.
Information collected automatically
- Push notification tokens for each device where you use the app, so we can send you notifications.
- Server logs: when you use Nubod, our servers record technical details such as your IP address, browser or device type, and the address requested. We keep these briefly, for security and troubleshooting.
- Error reports: when something goes wrong, details about the error and your browser or device go to our error-monitoring provider, Sentry. Reports from the web app include your Nubod user ID and whether you’re a coach or a client.
3.How we use it
- To run your coaching: showing your program, logs, and progress to you and your coach; calculating targets, summaries, adherence, and challenge standings; and sending reminders.
- To keep you informed: sign-in codes, invitations, new-message and check-in alerts, and coaching emails such as a new meal plan or a summary of your measurements. We don’t send marketing emails or newsletters.
- To help coaches write faster with AI, as described in section 6.
- To keep Nubod working and safe: answering support requests, fixing problems, and preventing abuse.
- To meet legal obligations.
We don’t sell your personal information. We don’t show ads or share your information for advertising, we don’t track you across other companies’ apps or websites, and we don’t use health information for marketing.
Emails and notifications can include coaching details. For example, a measurement email shows the numbers you logged, and a new-message notification shows up to the first 140 characters of the message, which can appear on your lock screen. You can hide notification previews in your phone’s settings.
4.Who can see your information
- Your coach and their team. Your coach can see the information in your account. They can give co-trainers on their team access to see it and log for you. If your coach is part of a gym or studio account on Nubod, that business’s admins can see its clients.
- Your daily activity, only if you allow it. Steps, active minutes, sleep, and calories from Apple Health or Fitbit are visible to your coach only if you turn on Share my activity with my coach in the app. It’s off by default, and you can turn it off at any time. Workouts are different: every workout in your log is part of your coaching, including workouts imported from Apple Health with their duration, distance, calories, and heart rate. Food logs and weigh-ins that sync from Fitbit or Withings are added to your logs, which your coach can see too.
- Other people in a challenge, only if you choose. You’re hidden from other members by default. If you choose to be shown, members of the same challenge can see your first name and last initial, profile photo, rank, points, streak, compliance percentage, and whether you trained today, along with automatic posts when you log a workout.
- Anyone you share a workout with. When you share a workout, anyone with the link can see that workout and your first name.
- The Nubod team, when needed to provide support, investigate a problem, keep Nubod secure, or meet a legal obligation.
- Your coach’s own systems. Some coaches connect their website to Nubod, for example to create your account when you buy from them, or to give challenge members access to the coach’s live classes. In that case, we exchange what the connection needs, such as your name, email address, and what you’ve joined.
- Our service providers, listed in section 8.
- When the law requires it, to protect someone’s safety or rights, or as part of a merger or acquisition, in which case this policy continues to apply to your information.
5.Health and activity data
Apple Health (iPhone)
If you connect Apple Health and allow access, Nubod reads your steps, active energy, exercise minutes, flights climbed, sleep, and workouts, including each workout’s type, time, duration, distance, calories, and heart rate. Nubod doesn’t write anything to Apple Health.
We use this data to show your activity in the app, to add workouts you record elsewhere (for example, on Apple Watch) to your Nubod training log, and to count them toward challenges you’ve joined. Your coach sees imported workouts as part of your log, and sees your daily activity only if you turn on sharing (section 4). If your coach asks for an AI draft of a reply to your check-in, the summary of recent workouts sent to Anthropic can include imported workouts: their name, type, date, and duration, but not heart rate (section 6).
We don’t use data from Apple Health for advertising, marketing, or data mining. We never sell it, we don’t store it in iCloud, and apart from your coach, we share it only with the providers that run Nubod for us. You can change what Nubod can read at any time in your iPhone’s Settings or the Health app. Data already imported stays in your Nubod account until your account is deleted.
Fitbit and Withings (web app)
If you connect Fitbit, we receive your food logs, daily activity (steps, distance, calories, and active minutes), sleep, heart rate, weight, body fat, and basic profile details. Fitbit’s permission screen also lists location, settings, and social access, but Nubod doesn’t collect that data. If you connect Withings, we receive your scale readings, such as weight, and update your calorie and macro targets when you weigh in.
Your daily activity is visible to your coach only if you turn on sharing, and heart-rate data from Fitbit isn’t shown to your coach. Food logs and weigh-ins that sync become part of your logs. You can disconnect Fitbit on the Integrations page in Nubod, and remove Nubod’s access from your Fitbit or Withings account at any time. Data already synced stays in your Nubod account until your account is deleted.
6.AI features
Nubod uses Claude, an AI model made by Anthropic, to help coaches write. A coach reviews and edits every draft before anything reaches you, and the AI doesn’t make decisions about you.
- Check-in reply drafts. When your coach asks for a draft reply to your check-in, we send Anthropic your first name, your check-in (ratings, sleep, notes, and weight), your targets, a summary of your recent workouts, food logs, weigh-ins, and body-fat entries, and your coach’s recent replies.
- Meal-plan notes. When a coach drafts notes for your meal plan, we send your first name, your targets and food preference, and the meal plan.
- Exercises and workouts. When a coach creates an exercise or drafts a workout with AI, we send only the exercise name or the workout settings the coach picks (such as goal, muscles, and equipment), with no client information.
Anthropic processes this information to produce the draft and, under its commercial terms, doesn’t use it to train its models. AI features for clients are turned off today. If we turn them on, we’ll update this policy first.
7.Google Calendar (coaches)
Coaches can connect Google Calendar to see their week’s sessions alongside their clients’ progress.
- What we access: read-only access to the events on your primary calendar, and your Google account’s email address. Nubod can’t create, change, or delete anything in your calendar.
- How we use it: to show your upcoming events (title, time, location, and attendees) in Nubod. We fetch them from Google when you open that view and don’t store them.
- What we store: the access tokens Google issues so Nubod can read your calendar, and the connected account’s email address.
- Sharing: we don’t share your calendar data with anyone, use it for advertising, or send it to AI models.
- Disconnecting: disconnect on the Integrations page in Nubod, which deletes the stored tokens, or remove Nubod’s access at myaccount.google.com/permissions.
Nubod’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
8.Service providers
These companies help us run Nubod. Our hosting, database, sign-in, email, storage, AI, and error-monitoring providers handle your information only to provide their service to Nubod. Stripe, Fitbit, Withings, Apple, and Google (for Maps, Fonts, Calendar, and YouTube) also apply their own privacy policies to what they receive.
| Provider | What it does for Nubod | What it receives |
|---|---|---|
| Heroku (Salesforce) | Runs Nubod’s servers, in the United States | Everything sent to Nubod, and server logs |
| MongoDB Atlas | Hosts Nubod’s database, in the United States | The information in your account |
| Google Firebase | Sign-in, and push notifications (delivered through Apple’s push service on iPhone) | Your email address, sign-in details, device push tokens, and notification text |
| Google Workspace | Sends Nubod’s emails | Your email address and the email’s content |
| Cloudinary | Stores photos, videos, voice messages, and files | The files you and your coach upload |
| Anthropic | AI writing help for coaches | What section 6 describes |
| Stripe | Payments for paid challenges | Your first name, email address, and payment details. On some web pages, Stripe’s script also collects browser details to prevent fraud. |
| Sentry | Error monitoring | Error details, browser or device details, and, from the web app, your user ID and role |
| FatSecret, Edamam | Food database and barcode lookup | The words you search or the barcode you scan, without your name or account details |
| KLIPY | GIF search in chat and broadcasts | The words you search for GIFs, without your name or account details. GIFs load from KLIPY, so it also sees your IP address and device details |
| Unsplash | Food photos for meal plans | Food names only |
| Google Maps | Place search for the location question | What you type there. Its script loads with the web app, so it also receives your IP address and browser details. |
| YouTube | Plays some exercise demo videos | Your IP address and device details when you play a video. YouTube may set cookies. |
| Google Fonts, Font Awesome, Edamam | Fonts, icons, and Edamam’s attribution badge on our web pages | Your IP address and browser details when a page loads |
| Canny | Product updates and feedback boards for coaches | What coaches choose to post, and browser details |
Apple Health, Fitbit, Withings, and Google Calendar share data with Nubod only when you connect them, using the access you grant.
9.Cookies and browser storage
The web app keeps you signed in by saving your sign-in in your browser’s storage, and the mobile app saves it in your phone’s secure storage. Nubod doesn’t use advertising cookies, analytics trackers, or cross-site tracking. A few third-party features set their own cookies or collect browser details when they load: Stripe’s script (to prevent fraud), YouTube (when you play a video), and Google Maps. Our public website, getnubod.com, doesn’t use cookies or analytics.
10.How long we keep information
We keep your information while your account is open.
Deleting your account. Email hello@getnubod.com from the address on your account and we’ll close it. We permanently delete its data 30 days later; the 30 days let us restore an account closed by mistake. Permanent deletion removes your profile, intake answers, logs, check-ins, measurements, photos, files, messages (both sides of your conversations), challenge entries, and sign-in. After that, we keep only:
- purchase records (amount, date, first name, email address, and Stripe’s references), for as long as tax and accounting rules require; and
- copies in database backups, until those backups expire.
Coach accounts. When a coach’s account is deleted, we delete their business details, templates, broadcasts, and settings, except templates a client is still following, which stay so that client’s program keeps working. A client’s account isn’t deleted when their coach leaves Nubod, and clients can ask us to delete theirs at any time.
Other information. Server logs are kept briefly. Setup-call requests and challenge waitlist sign-ups are kept until you ask us to delete them. Disconnecting Apple Health, Fitbit, or Withings stops new data, and what was already synced stays until your account is deleted.
11.Your choices and rights
In Nubod, you can:
- update your name, photo, and profile details;
- turn activity sharing with your coach on or off;
- show or hide yourself in a challenge;
- choose which notifications and coaching emails you get (Settings → Notifications on the web, or Notifications in the app); and
- connect or disconnect Apple Health, Fitbit, Withings, and, for coaches, Google Calendar.
You can also email hello@getnubod.com to ask for a copy of your information, to correct or delete it, or to object to how we use it. We’ll confirm the request comes from you, usually by replying to your account’s email address, and respond within 30 days. Because your coach decides how your coaching information is used, we may involve them. You won’t be treated differently for making a request.
Depending on where you live, privacy laws (for example, in the European Union, the UK, and some US states) may give you more rights, including the right to complain to a data protection authority. We honor the requests above for everyone.
European Economic Area and UK. We use your information to provide the service you or your coach signed up for; with your consent, for health data you connect and for sharing activity with your coach; for our legitimate interest in keeping Nubod secure and working; and to meet legal obligations. Your information is processed in the United States.
California. We don’t sell your personal information or share it for cross-context behavioral advertising.
12.Security
We protect your information with encrypted connections (HTTPS), a database host that encrypts stored data, sign-in through Google Firebase, and access rules that keep each coach’s clients separate from other coaches’. Photos, videos, and files are stored at unlisted web addresses that are hard to guess, and Nubod shows them only to people who can see your account. Anyone who has a file’s exact address can open it, though, so please don’t share those addresses.
No system is perfectly secure. If a breach affects your information, we’ll tell you as the law requires.
13.Children
Nubod isn’t meant for children under 13, and we don’t knowingly collect their information. Clients aged 13 to 17 should use Nubod only with permission from a parent or guardian. If you think a child under 13 has an account, contact us and we’ll delete it.
14.Changes and contact
If we make a significant change to this policy, we’ll tell you by email or in the app before it takes effect. The date at the top shows when it last changed.
